Class & PT Session Participation Terms
All clients particpating in a class or PT/Partner PT session agrees to the following:
- Book into your class or PT Session, via PTMinder prior to the start of your scheduled class/PT Session time
- 4 hrs before classes (enforced by PTMinder)
- 24 hrs before PT Sessions (enforced by PTMinder)
- Bring:
- Full drink bottle
- Towel
- Exercise mat
- Wear appropriate clothing for the weather/climate and vigorous exercise
- Take precautions to protect themselves from the elements including but not limited to sunscreen and hats.
- Resistance band(s) – if you don’t already have one, Karen will provide you with one you can borrow, where the class activities require it.
- Arrive on time to scheduled bookings to ensure sufficient time is allowed for a warm-up prior to the workout and to inform their trainer of any concerns related to their body that could impact on their ability to safely exercise.
Where a client does not adhere to the above conditions, Karen El-Azzi or any other Thrive Together trainers, reserve the right to refuse any client to participate in the booked class or PT/Partner PT session.
Class & PT Session Booking Cancellations
Personal Training Sessions
If a client has to cancel or reschedule any previously scheduled appointments, the client must contact the personal trainer directly at least 24 hours in advance of the scheduled appointment.
If a client cancels their fitness session outside 24hrs, they will have up until the end of their package expiry to reschedule it for a later time. Any remaining pre-paid sessions after the package expiry will be forfeited.
If a client does not cancel or reschedule an appointment at least 24 hours in advance, Karen El-Azzi reserves the right to charge a cancellation fee equivalent to a full personal training fee that would normally be charged for that training session.
If a client fails to appear for a scheduled appointment, Karen El-Azzi reserves the right to charge a no show fee equivalent to the fee that would have been charged for the session.
If you can not make your booked session, please notify your trainer, by cancelling your booking via PTMinder.
Partner Training Sessions
In addition to the 24hr cancellation policy, outlined above. Partner sessions will be charged at the full rate, whether 1 or the full number of registered participants attend the session.
All Group Classes
If a client does not cancel or reschedule a class booking at least 12 hours in advance, Karen El-Azzi reserves the right to charge a cancellation fee equivalent to a full class booking fee. The 12 hour window allows other members on the waitlist for the class to attend the class in your place.
If you can not make your booked session, please notify your trainer, by cancelling your booking via PTMinder.
Pre-paid Service, Pass/Package, Membership Refunds, Pauses, Cancellations & Fees

1 Refunds, Pauses, Cancellations & Fees
1.1 Pre-paid PT Sessions and PT Session Passes/Packages
1.1.1 Refunds
Pre-paid PT Sessions are not refundable in part or in full for non-attendance for all or part of the pre-paid PT Session or PT Session pass/package.
All pre-paid PT Session passes/packages can be used in a booked PT Session prior to the expiry of the pass/package. It is up to the client to arrange and confirm their PT Session bookings with their trainer.
Any pre-paid PT Session that is cancelled outside of the cancellation window, will have a credit applied to their PTMinder account that can be used towards future PT Session, PT Session pass/package purchases, for up to 4 weeks. After 4 weeks the credit will be forfeited.
Class pass/package credits not used before the expiry of the package or pass, will be forfeited.
1.1.2 Pauses
PT Session passes/packages can be paused for a minimum of 1 weeks, with 2 weeks written notice (via email to: admin@thrivetogether.com.au), up to 2 times per year, for a total of 6 weeks, across all pauses, across unlimited number of packages and memberships.
Active and valid PT Session passes/packages will be paused during extended holiday periods where classes are not run.
Allowances may be considered for extended injury or illness of 4 weeks or more with medical certificate provided.
1.1.3 Cancellations
Passes/packages cannot be cancelled. They will remain active and available for use until their designated expiry date. At the time of expiry, any unused class credits will be forfeited.
1.1.4 Transfers
All passes and packages are non-transferable and may only be used by the person who purchased them.

1.2 Pre-paid Group Classes and Group Class Passes/Packages
1.2.1 Refunds
Pre-paid classes are not refundable in part or in full for non-attendance for all or part of the pre-paid class, pass/package.
All pre-paid class passes/packages can be used in a scheduled class prior to the expiry of the pass (not including specialised classes for example Core Fit classes). It is up to the client to confirm space in their desired classes and book in.
Any pre-paid class that is cancelled outside of the cancellation window, will have a credit applied to their PTMinder account that can be used towards future classes, pass/package purchases, for up to 2 weeks. After 2 weeks the creons-and-refunds/#Cancellationsdit will be forfeited.
Class pass/package credits not used before the expiry of the pass/package, will be forfeited.
1.2.2 Pauses
Group class passes/packages can not be paused or extended due to absence.
Allowances may be considered for extended injury or illness of 4 weeks or more with medical certificate provided.
Active and valid passes/packages will be paused during extended holiday periods where classes are not run.
1.2.3 Cancellations
Group class passes/packages cannot be cancelled. They will remain active and available for use until there designated expiry date. At the time of expiry, any unused class credits will be forfeited.

1.3 Direct Debit Memberships
1.3.1 Refunds
Direct debit memberships are non-refundable in part or in full for non-attendance, whether for all or part of the membership duration.
Unused class credits available within a membership will be available for use for up to 28 days, or until the membership is cancelled, whichever is sooner.
1.3.2 Pauses
Once a memberships has exceeded it’s minimum term period, it can be paused for a minimum of 1 week, with 2 weeks written notice (via email to: admin@thrivetogether.com.au). This can be done up to 2 times per calendar year, for a total of 6 weeks across all pauses, across unlimited number of memberships.
Memberships will be paused during extended holiday periods where classes or PT Sessions are not run.
Allowances may be considered for extended injury or illness of 4 weeks or more with medical certificate provided.
1.3.3 Cancellations
Direct debit memberships can be cancelled once the minimum term period has been exceeded, with 2 weeks written notice (email to: admin@thrivetogether.com.au).
1.3.4 Transfers
Direct debit memberships are non-transferable and may only be used by the person who purchased the membership.
1.3.5 Additional Fees

1.4 Make-up Session Passes
1.4.1 Refunds
Make-up session passes are not refundable and cannot be exchanged for cash.
Make-up session pass credits not used before the expiry of the pass, will be forfeited.
1.4.2 Pauses
Make-up session passes cannot be paused or extended due to absence.
Allowances may be considered for extended injury or illness of 4 weeks or more with medical certificate provided.
Active and valid passes will be paused during extended holiday periods where classes are not run.
1.4.3 Cancellations
Make-up session passes cannot be cancelled. They will remain active and available for use until there designated expiry date. At the time of expiry, any unused class credits will be forfeited.
1.4.4 Additional Fees
There are no additional fees applicable to make-up session passes.
1.5 Pre-paid Group Class Pass – Core Fit
Core fit full pre-paid classes are not refundable in part or in full for non-attendance for all or part of the classes.
These passes can only be used for Core Fit classes.
Up to 2 sessions may be carried over and made up in the same type of class (or similar as determined by Karen El-Azzi) within the first 4 weeks, of the next term that class is offered. Missed sessions over and above 2, will be forfeited after the expiry of the class pass.
Missed sessions not made-up during the first 4 weeks of the next available term of the same type of class (or similar as determined by Karen El-Azzi) will be forfeited.
Allowances may be considered for extended injury or illness of 4 weeks or more with medical certificate provided.
1.6 Gift Certificate Expiry and Conditions
Gift certificates are not redeemable for cash and are non-refundable. All purchases are final. Gift certificates can be transferred when requested in writing to admin@thrivetogether.com.au. Lost or stolen gift certificates will not be replaced. Class or Session bookings made using gift certificates must made prior to the gift certificate’s expiry date; the booking can be for a class or session scheduled to up to 1 month after the gift certificate’s expiry date. Gift certificates can be used to upgrade to a more expensive service; payment of the difference between the voucher and the upgraded service will be required at time of booking to confirm booking. Gift vouchers cannot be used for cheaper services; Clients wishing to do so will forfeit the difference between the value of the gift certificate and the cheaper service. Normal service cancellation policy applies to session bookings made using a gift certificate.
1.7 Fees
1.7.1 Failed Transaction Admin Fee
An additional fee will be charged for any and all unsuccessful payment transactions. The fee will be charged with the next attempted transaction, each time a transaction is unsuccessful i.e. where multiple attempts are made to process a transaction for a single payment, multiple fees will be charged.
In the case of a failed payment transaction, you will be notified via email and given 5 days to ensure the issue is resolved with your financial institution, before it is attempted again.
The additional fee charged for each unsuccessful transaction is $5
1.7.2 Manual Invoice Admin Fee
Due to the manual processing required for invoices for EFT payments, a fee will be charged and added to each invoice, for regular on-going EFT payments.
The additional fee charged for each invoice is $5.
